Responsibilities:
Maintain and manage executives’ agendas, including planning and scheduling appointments, board meetings, and conferences.
Organize and schedule meetings and appointments for executives.
Handle incoming calls and correspondence, redirecting them when appropriate.
Maintain office supplies and equipment, coordinating repairs and maintenance as needed.
Manage and update both physical and digital filing systems.
Prepare reports, presentations, and other documents as requested.
Assisted with travel arrangements and processed expense reports.
Manage executive calendars and coordinate schedules.
Take minutes during meetings and distribute them to attendees.
Screen and prioritize incoming emails, mail, and other communications.
Provide administrative support to ensure efficient office operations.
Attend meetings and accurately record minutes.
Receive and screen phone calls, redirecting them when necessary.
Handle and prioritize all outgoing or incoming correspondence (emails, letters, packages, etc.).
Handle confidential documents, ensuring they remain secure.
Maintain organized and easily accessible electronic and paper records.
Conduct research and prepare presentations or reports as assigned.
Desired Candidate Profile:
Bachelor’s degree in business administration or a related field.
Minimum of 2 years of experience in a similar role.
Previous experience as a secretary or administrative assistant.
Strong organizational and multitasking skills.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office and other relevant software.
