Job Description
We are seeking a highly organized and detail-oriented executive assistant to support the day-to-day operations of our executive team. The successful candidate will be responsible for:
- Calendar Management: Prioritize and manage the executive’s calendar, ensuring meetings and appointments align with strategic goals and maximize productivity.
- Communication Liaison: This person is the primary point of contact for internal and external communications, ensuring precise and timely messaging.
- Meeting Coordination: Prepare meeting agendas, take detailed minutes, and follow up on action items to ensure timely completion.
- Research & Reporting: Conduct research and create reports or presentations to support decision-making and strategic initiatives.
- Travel Coordination: Arrange seamless travel itineraries, accommodations, and transportation, ensuring all details are handled efficiently.
- Confidentiality: Handle sensitive information with discretion and maintain the highest standards of integrity and professionalism.
- Project Management Support: Track project timelines, budgets, and deliverables, providing updates to stakeholders as necessary.
- Office Organization: Maintain a well-organized office, including managing filing systems and supplies to promote a productive work environment.
- Process Improvement: Develop and implement administrative processes to enhance efficiency and streamline office operations.
- Financial Support: Assist with expense tracking and invoice processing, ensuring accuracy and compliance with company policies.
Ideal Candidate Profile
- Education: A high school diploma is required; a bachelor’s degree in business administration or a related field is preferred.
- Experience: At least 2 years of experience in administrative or executive support roles within a corporate environment.
- Skills: Proficiency in Microsoft Office Suite and familiarity with project management tools.
- Organizational Skills: Ability to manage multiple tasks and meet deadlines while maintaining high attention to detail.
- Communication: Strong verbal and written communication skills, including professional email etiquette and report writing.
- Languages: Fluency in English is required. Additional language skills are a plus, especially in diverse and international environments.
